Resources

 

DreamTeam supports three different types of resources that can bee added to a Project.  These resource types include:

 

Resource Types

 

User - A User is someone who is part of your Company who has login credentials to the DreamTeam Suite that you want to use as a Resource on a project or multiple projects.

 

Contact - A Contact is more of a catch all for everyone else that is either part of your company that does not have a DreamTeam Suite license, a Customer, Partner, Vendor or someone else that you want to utilize as a Resource on a project or multiple projects.  Pending on the Platform, Contacts are stored in either in the Contact section within your Salesforce Org or in the Database application on all other platforms.  Contacts are able to be added as resources but have no direct visibility or interaction capabilities on the project.

 

Capital Asset - A Capital Asset is usually a non-human resource that you want to either track the utilization or cost of during the course of the project or multiple projects. For example: A laptop is a good example of a Capital Asset that you want to manage the cost of usage during the course of your project.

Adding a Resource to a Project

 

DreamTeam provides users with a number of ways to assign a resource to a project including: 

 

1. Add a resource when creating a project - The second step of creating a new project is to add resources to the project.  Project Managers can add Users, Contacts and Capital Assets directly from the New Resource Properties dialog box.

 

2. Add a new Resource from the Resource Menu - Project Managers can easily add new resources to a project by selecting New Resource from the Resource properties.

 

3. Add a resource or multiple resources from a Resource Pool - Project Managers can add resources to a project by selecting them from a Resource Pool project template. 

 

Once selected, a list of all of the projects in your Org and select the Resource Pool project from that list. Once you select this project, all of your Resources with both cost and skill attributes in tact will be populated in the Selected Team Members box.

 

 

 

4. Add a resource or multiple resource through the Assign Resources feature -  

 

DreamTeam allows users to easily assign resources to a project by right clicking on the index and selecting the Assign Resources command.

 

 

By selecting this command, the Assign Resources to Tasks dialog box will appear.  Here users can select either one resource or multiple resources from the Resources box and either one or multiple tasks from the Tasks box.  Once selected, users can then choose from one of the following two options and then click the Assign button.

 

1. Replace all current assignments - By selecting this option, all resources selected will replace all existing resources current assigned to all of the selected tasks.

 

2. Merge with current assignments - By selecting this option, all resources selected will be added to all existing resources on the selected tasks.

 

 

 

Adding a Resource to a Task

 

To add a resource to a task:

 

1. Add Resource through Task Properties - Project Managers can add resources to a task by clicking on the Add button on the Task Properties. 

 

 

 

Micro Level Resource Availability Chart

 

When allocating a resource users can see the utilization of the Resources from the Micro Level Resource Availability Chart. Here users can see the resources availability and also see what projects, tasks and utilization percentage for each task by clicking on the boxes in the top right.  In addition, you can add the events assigned to the selected resource from the Display drop down menu on the left. If Tasks & Events are selected, the tasks will appear in blue, while the events will appear in purple and be stacked on top of the tasks.  To access the information desired simply click on the appropriate box.
